This policy explains what personal data Freightneo collects, why, and the choices you have. It is written to meet recognised data-protection standards, including the data-protection law that applies to us. Each section starts with a short summary — the full text is what applies.

01Scope

In short: This policy covers our websites, the app, and tracking pages. For shipment data our customers upload, the customer decides why it is processed; we process it for them.

This policy applies to personal data processed by Freightneo (“we”, “us”) when you visit our websites, use the Freightneo application, or open a Freightneo tracking page.

Where our customers (freight forwarders and other logistics businesses) upload shipment records that contain personal data — for example a consignee’s name — the customer determines the purposes of that processing and we process the data on the customer’s behalf and instructions. Requests concerning that data are best directed to the business that shared the shipment with you; we will assist them in responding.

02Data we collect

In short: Account details, workspace and shipment data, viewer access logs, billing records, and basic usage data.
  • Account data — your name, work email address, role and workspace membership.
  • Customer content — shipment records, milestones, documents and related details your workspace uploads, which may include personal data of your clients, consignees or partners.
  • Viewer data — when a tracking page is opened: the email address captured or verified at the gate, access times, and technical data such as IP address and browser type.
  • Billing data — plan, invoices and payment status. Card details are collected and held by our payment provider, not by us.
  • Usage & device data — logs and diagnostics generated by using the Service, used for security and reliability.

03How we use data

In short: To run the Service, keep it secure, bill for it, support you, and send service messages. We do not sell personal data.
  • Providing and operating the Service, including displaying shipment information to the people it is shared with.
  • Sending service communications — sign-in codes, milestone notifications, viewer link emails, billing receipts and important notices.
  • Securing the Service — authentication, tenant isolation, audit logs, abuse prevention.
  • Billing and account management through our payment provider.
  • Support, troubleshooting and improving the Service.
  • Meeting legal obligations.

We do not sell personal data, and we do not use Customer Content for advertising.

04Viewer pages

In short: Tracking pages record who opened them — that is a feature. The record is visible to the business that shared the link.

Freightneo tracking pages are access-controlled at the choice of the business sharing them. Depending on the gate applied, you may be asked to enter your email address, a passcode, or a one-time code before viewing.

When you open a tracking page, we record the access — including the email captured at the gate and the time of access — and make that record available to the workspace that shared the link, so they can see their shipment information reached the right people. Technical logs (such as IP address) are kept for security.

05When we share data

In short: Only with the service providers that run Freightneo, with your workspace as designed, or where the law requires.
  • Service providers — hosting and database infrastructure, transactional email delivery, payment processing, and carrier/tracking data providers, each processing data only to provide their service to us.
  • Within the product, as designed — shipment data is visible to the workspace that owns it and to the people that workspace shares it with.
  • Legal — where disclosure is required by law or necessary to protect our rights, users or the public.
  • Business transfers — as part of a merger, acquisition or asset sale, subject to this policy.

06International transfers

In short: Our infrastructure providers may process data in other countries, under appropriate safeguards.

The service providers that host and operate parts of the Service may store or process data in other countries. Where personal data is transferred internationally, we take reasonable steps to ensure it remains protected consistent with this policy and applicable data-protection law.

07Retention

In short: We keep data while your account is active, and for a limited period afterwards.

We retain personal data for as long as needed to provide the Service and for legitimate business or legal purposes (such as billing records). When a workspace is closed, Customer Content is retained for a reasonable export window and then deleted from active systems, with residual copies removed from backups on their scheduled cycle.

08Security

In short: Isolation per customer, encryption, passwordless sign-in, and audit logs.

We protect data with technical and organisational measures including per-tenant data isolation enforced at the database, encryption in transit and at rest, passwordless one-time-code sign-in, access controls, and append-only audit records. No system is perfectly secure; if we become aware of a breach affecting your personal data we will notify affected parties as required by law.

09Your rights

In short: You can ask to access, correct or delete your data, or withdraw consent, as provided under applicable law.

Subject to applicable law, you may request access to or correction of your personal data, withdraw consent to processing, or ask us to limit or delete it. Contact us using the details below; we may need to verify your identity. If your request concerns shipment data uploaded by a business you deal with, we may refer the request to that business and assist them in responding.

10Cookies

In short: We use necessary cookies to keep you signed in. No advertising cookies.

The Service uses strictly necessary cookies and similar storage to operate — for example to maintain your session after sign-in and to remember viewer access on a tracking page. We do not use third-party advertising cookies.

11Children

In short: Freightneo is a business tool, not for children.

The Service is intended for business users and is not directed at individuals under 18. We do not knowingly collect personal data from children.

12Changes to this policy

In short: We will post updates here and flag material changes.

We may update this policy from time to time. The “Last updated” date above shows the current version, and we will give notice of material changes (for example by email or in-app).
